How we handle your office move

Individual planning

Every move begins with a precise inventory. We analyse how you use your space, your workstation configurations and the technical requirements. Together we determine priorities, sensitive areas and time frames so that the move fits in with your business operations.

Packing & technology

We handle sensitive technology, files and archives with particular care. You receive a coordinated packing concept, clear labelling and special protective measures for hardware. This keeps it clear what belongs where and makes it easier to resume work.

Logistics on site

On moving day, we coordinate deliveries, loading zones and routes so that disruption to your operations is kept to a minimum. Our team leader ensures ongoing communication with your contact person. Short distances, safe traffic routing and forward-looking handling reduce stress and delays.

Setting up at the destination

After transport, we help with assembly and setting up according to your floor plan. Furniture assembly, connecting workstation equipment and an introduction to central functions are part of our service. The aim is a usable workplace as soon as you need it.

The process in detail

  1. On-site appointment: inventory, prioritisation and agreement on timings.
  2. Planning: drawing up a move plan with a packing list and contact persons.
  3. Preparation: delivery of packing materials and labelling systems.
  4. Moving day: coordination, transport and controlled unloading.
  5. Setting up: assembly, connection and final acceptance together with you.

Office move without downtime: how we plan

An office move is successful when your employees can switch on their computers and carry on working on their first day in the new office. This requires a clear schedule, unambiguous labelling and close coordination with your IT. We take care of transport, assembly and organisation – the network technology remains in the hands of the people responsible for your IT.

Timeline for an office move

When What
8–12 weeks before Survey, quote, fixing the moving weekend
4–6 weeks before Floor plan for the new premises, numbering system for workstations
2 weeks before Distribute boxes, sort archive and old files
Moving day Dismantling, transport, assembly according to the floor plan
First working day Short follow-up appointment for minor adjustments

Every workstation has a number

Each employee is given a workstation number from the new floor plan. This number appears on all boxes, on the mobile pedestal, monitor and computer. At the destination, we put everything straight in the right place. That way nobody has to look for their boxes on Monday.

Files and data protection

Personnel files, contracts and customer data must not fall into the wrong hands during the move. We transport them in locked containers and hand them over only to named persons. Old files that are no longer needed should be destroyed in compliance with data protection rules before the move.

Furniture and technology

We dismantle desks, cabinets and shelving systems and reassemble them at the new premises. Monitors and computers are padded and transported individually. If new office furniture is delivered, we can assemble it as well – see Assembly Service Berlin. For larger companies with several floors, also read the page Commercial Move Berlin.

Costs

The price depends on the volume, the number of workstations, the assembly work and the time window. You can find an overview under Moving Company Berlin Costs.

What employees should do before the office move

An office move works best when everyone pulls together. Ask your employees to prepare their workstations in good time. This saves a lot of time on moving day and prevents personal belongings from going missing.

  • Empty desks and mobile pedestals and pack the contents into labelled boxes
  • Take personal items such as plants, pictures or valuables themselves
  • Tidy up filing and hand in documents that are no longer needed for destruction
  • Bundle cables from monitors, keyboards and mice after consulting IT
  • Attach their own workstation number sticker to all boxes and devices

The role of IT

The network, telephone system, servers and printers are the responsibility of your IT department or IT service provider. We coordinate with them on when devices have been disconnected and can be transported, and when they need to be ready at the new premises. This ensures that computers and screens are in place exactly when the cabling is finished.

Communication with customers

Do not forget to inform your customers and business partners about the new address in good time: on the website, in your email signature, on invoices and business cards, and in online directories. A notice at the old premises helps visitors who have not heard about the move.

Moving in stages

For larger offices, it can make sense to move department by department. Part of the team is then already working at the new premises while the other part remains at the old one. We plan the order together with you.

Office move: the workstation comes first

In an office move, one question counts in the end: can everyone work at their desk on the first day after the move? That is what we focus our planning on. This page describes moving office space – desks, chairs, cabinets, technology and files. If an entire company moves with a warehouse, production or several locations, you will find more on the page about commercial moves.

Moving workstations

A normal office workstation consists of a desk, chair, mobile pedestal, monitor, docking station and a few personal items. We pack each workstation according to a fixed pattern. Cables go into a labelled bag, monitors into protective covers, and the contents of the mobile pedestal usually stay inside and are secured with tape. At the new workstation, everything is back in the right place, so it only needs to be plugged in.

Height-adjustable desks

Many offices have electrically height-adjustable desks. They are heavier than normal desks and have a motor and a control unit. Before dismantling, we lower them all the way, disconnect the power and secure cables and controls. During assembly, we check that the desks move properly in all directions again.

Meeting rooms and kitchen

Meeting tables, wall-mounted screens and presentation equipment are easily forgotten. We include them in the planning, as well as the office kitchen with its fridge, coffee machine and crockery. We usually set up these rooms first at the new premises so that the team has a place to meet.

Moving at the weekend

Many offices move on Friday afternoon and Saturday so that work can resume on Monday. This works well if all boxes are packed and labelled by Friday. We load on Friday and Saturday, assemble on Saturday, and Sunday leaves time for IT. Check with the landlord and property management whether there is access to both buildings at the weekend and whether lifts can be reserved.

Working from home and smaller spaces

Since many teams now partly work from home, companies often move into smaller offices. There are then fewer fixed desks and more shared workstations. Before the move, it is worth asking which furniture is still needed. Whatever is left over, we can store, have collected or dispose of. Personal belongings of employees who no longer have a fixed desk go into lockable compartments, which we plan for in advance.

A plan everyone understands

In the end, a lot depends on a good floor plan: which number belongs to which workstation, and which department sits on which floor? We work with your plan or help you create a simple one. On moving day, a sign with the room number hangs on every door so that the team can unpack quickly and reliably.

Printers and network equipment

Large multifunction printers are often leased. Check with the lessor whether they handle the transport themselves or whether we may do it. Network cabinets and servers are usually dismantled by your IT. We then transport them padded and upright and set them up at the new premises wherever your IT wants them.

FAQ - Frequently Asked Questions

How do you ensure the security of sensitive documents?

You choose the handling you want: locked boxes, accompanied transports or direct handover to internal staff. We ensure clear labelling, confidential handling and traceable documentation of all movements.

How do you reduce downtime during the move?

We plan staggered transports and prioritise workstations that are particularly important for operations. By setting up the central IT and communication hubs early and agreeing time windows, we minimise interruptions.

How much does an office move in Berlin cost?

For an office move, we calculate the price based on the number of workstations, the volume of files and archives, IT, floors and the time window – work at the weekend costs more than during the week. After the survey, you receive a fixed price listing all items. Guide prices for offices can be found under Moving Company Berlin Costs.

What does an office move with Lion Umzüge include?

Joint planning with a floor plan and numbering system, packing of files and technology, dismantling and assembly of workstations, transport and setting up according to plan. The aim is for your team to be able to carry on working straight away on the first day in the new office.

How short-notice can an office move be booked?

For an office move, you should enquire six to eight weeks in advance, earlier for larger offices. If the date is fixed at short notice because of a lease, let us know – smaller offices can often be moved more quickly.

Can I combine several services for an office move?

Yes. For office moves, packing service for files, assembly service for desks and cabinets, clearance of old furniture and storage of surplus furniture are frequently part of the job.

How are my goods insured during an office move?

For office furniture and files, liability under Section 451e of the German Commercial Code (HGB) applies, i.e. 620 euros per cubic metre of loading space required. For servers, monitors and other expensive technology, we recommend checking your company insurance or taking out additional insurance.
